Agents

AI agents built and maintained by Leitmann Innovations. Each one does a single job well, works on a schedule or in chat, and asks the owner before anything leaves the business.

A.01

Compliance Register Agent

Compliance · Chat & schedule

Keeps one register of everything a small business can't operate without: licences, insurance policies, staff checks, vehicle registrations and subcontractor certificates.

Every weekday morning it checks what has expired or is coming due and puts a Planner card on the owner for each item, never doubling up. It drafts the reminder to whoever owes the paperwork, ready for the owner to approve. Every Monday the owner gets a short summary of what's expired, due in 30 days and due in 90.

Adding an item is as simple as sending a photo with a caption. Dates are calculated in code, not guessed, and nothing is marked renewed until the owner supplies the new expiry date.

Overdue Invoice Agent

Finance · Schedule & chat

Gets a business paid without the owner having to chase. It reads the Xero or QuickBooks ledger every day, finds every invoice past its due date, and works through a polite three-stage sequence by email or text.

On day 1 it sends a friendly nudge with the invoice and payment link. Day 7 is a firmer reminder naming the amount and terms. On day 14 it sends a short notice that the account is going to the owner. When a customer promises a date, it confirms in one line and goes quiet until then. Any dispute, payment plan request or sign of hardship goes straight to the owner.

Every Monday the owner gets one summary: total overdue, the worst five accounts, promises made, and who needs a phone call.

Review Request Agent

Front office · Text, chat & schedule

Asks every finished-job customer for a review at the right moment, and catches the unhappy ones first.

When a job is marked complete, it waits the delay the owner has set (three hours by default), then texts one private question: how did we go today? Happy customers get a short, personal request with the direct review link. If the answer isn't good, the review link is never sent. The complaint goes straight to the owner with the customer's words intact. No answer after four days gets one gentle follow-up, and then it stops for good.

When a new public review comes in, it drafts a reply in the business's own voice, thanking the customer by name and referencing the job, and holds it for the owner to approve. Every Monday the owner gets the week's numbers: requests sent, reviews received, rating movement and unhappy customers caught.

Enquiry Reply Agent

Front office · Text, chat & schedule

A receptionist for owner-operators who don't have one. It replies to every new website enquiry and customer text within about a minute, so the lead doesn't go cold while the owner is on the tools.

It asks up to three of the owner's qualifying questions, one at a time. It answers questions about service area, rough price and availability only from the owner's settings and approved documents, and never invents a price. Then it adds a lead to the pipeline and texts the owner a ready-to-quote summary: who, what, where, how urgent, and one line to quote it.

A silent enquirer gets at most two follow-ups. STOP is honoured immediately. Anything off-script, abusive or needing the owner's call is handed back politely.

Paperwork Drafting Agent

Back office · Chat

Turns rough job notes into finished paperwork, for the owners who end up writing it at night.

The owner sends a voice-note transcript, a few typed lines or a photo caption. The agent drafts the job report, site notes, variation request, quote cover letter, incident report or client update using the business's own templates and approved wording. If the document type isn't obvious it asks one question, no more.

Any fact it can't find in the owner's notes is marked [CHECK] and listed, never guessed. Drafts are saved to the owner's files for approval, and nothing reaches a customer without the owner.

Leave Request Agents

Applied AI · HR automation

A multi-layered agent system that handles staff sick and holiday leave from the moment it's requested to the moment payroll is squared away.

Requests come in however staff find easiest: a phone call, an email or a web form. The agents read each request, pull out who, what and when, and check it. They then write the change straight into the Google Calendar staff roster and log it in Google Sheets for HR and payroll reconciliation. No one re-keys anything.

Tech Support Agent

Support · Chat

A senior IT support specialist in a chat window, for everyday people with everyday tech problems: computers, phones, printers, Wi-Fi and software.

It works the way a good technician does. It asks one plain question at a time and reflects the problem back so the person feels understood. Then it works out what's really wrong and why, and walks them through the fix in numbered steps. After each step it checks whether it worked and tries the next approach if not. It only closes when the person says they're happy, and adds tips so the problem doesn't come back.

When a job needs hands on the machine or admin access, it says so and writes a handover note for a real technician. It flags the risk before any risky step, and says so plainly when it's unsure rather than guessing.

Client Document Chaser Agent

Practice admin · Chat, email, text & schedule

Gets the paperwork in from clients so the practice can get on with the work. For each client file, it sends the client a plain checklist of what's still missing, nudges on a polite schedule, ticks items off as they arrive, and tells the owner whose file is complete and whose is stuck.

The owner opens a request in chat with the client, contact, documents needed and due date. The checklist goes out in the practice's own approved wording. When a client replies, the agent reads it and records what has come in. After three nudges with no result, it stops and puts a call card on the owner. Every Monday the owner gets a summary of complete, waiting and stuck files.

The first message to a new client is approved by the owner. After that, nudges run automatically.

Shift Fill Agent

Operations · Text, chat & schedule

Fills dropped shifts fast, without roster software. The owner, or the staff member dropping out, gives the role, date and times by chat or text.

The agent texts eligible casual staff for that role in the owner's priority order, in small waves (by default three people, five minutes apart). The first clear yes gets the shift and a confirmation, everyone else hears it's filled, and the owner gets a text saying who's covering. If nobody takes it by the cut-off, the agent tells the owner plainly.

Two yeses at once: the earlier one wins and the other is thanked. A maybe isn't a yes, so it asks for a clear answer. Each person gets one offer per shift, never pressure, and STOP is honoured.

Hiring Agent

HR · Chat

Helps small businesses hire without an HR department. The owner answers a few quick questions (role, hours, pay range, suburb, must-haves) and the agent drafts a clear job ad, ready to paste into SEEK, Indeed or Facebook. It also writes four to six short screening questions, each with a note on what a good answer looks like.

The owner pastes in each applicant's answers, and the agent scores them the same way every time against the owner's must-haves. It remembers every role and applicant across several days, then hands over a ranked shortlist with a one-line reason for each person. With the owner's yes, it sends the screening questions, interview invites and polite "not this time" replies from the owner's Gmail or Outlook.

Protected attributes such as age, gender, race, religion, pregnancy, disability and family status are never asked about, scored or ranked. The owner sets the pay and makes the decision.

Appointment Keeper Agent

Front office · Text, chat & schedule

Keeps the appointment book full. Before each booking (24 hours ahead by default, adjustable by the owner) it texts the client to confirm or reschedule. A yes marks the booking confirmed. A reschedule request gets a choice of available times, and the booking moves to the one the client picks.

When someone cancels, it frees the slot and texts the waitlist clients who want that service. The first to accept gets it, never double-booked, and the others are told it's taken. Clients who don't reply get one reminder before the owner is alerted. A daily summary of confirmations, reschedules, cancellations and refilled slots is available in chat.

Client details stay private. Fees, refunds, payments and clinical advice are left to staff. Outgoing texts need the owner's approval unless the owner switches on automatic sending.

Quote Follow-Up Agent

Sales · Chat & schedule

Wins back the quotes that go quiet. It keeps one register of every quote a trade or service business sends, picked up from the Sent folder in Gmail or Outlook, from Xero, ServiceM8 or QuickBooks, from the pipeline, or logged in chat, and never counts one twice.

On days 2, 5 and 10 it sends a polite follow-up by email, text or both, in the owner's own words and only within sending hours. The moment a customer replies, accepts or declines, it stops. The owner hears straight away about replies and hot leads: a keen reply, or a quote above the owner's big-job amount. Every day the owner gets a short summary of open quotes, who was nudged and what's gone cold.

It only reads the accounting and job systems, never changing a quote there. It never changes a price or offers a discount, and never sends more than three nudges or anything on a Sunday.

Creative tools · Generative AI

A complete video editing suite built around generative AI, from first frame to finished cut.

Work is laid out as a node workflow: each step (generate, restyle, extend, composite, export) is a node, and wiring them together builds a repeatable pipeline. Built-in libraries for reference images and assets keep characters, styles and brand material consistent from shot to shot.

AI-Driven 3D CAD Program

Engineering tools · 3D interface

A CAD program with a custom-designed 3D interface, where AI works alongside the designer in the model space.

Parts can be described in plain language and refined directly in the viewport, so going from idea to geometry takes far fewer steps than in traditional CAD. It was built by someone who drafts patent drawings and prototypes hardware, for exactly that kind of work.

AR Digital Asset Marketplace App

Augmented reality · Blockchain · In development

The app built on Leitmann Innovations' own patent filing for a location-based digital asset marketplace.

Owners pin artwork, sound, video and advertising to real places, such as a shop window or a building wall. Collectors find the pieces on a map and view them in augmented reality once they're standing there. They can then buy or trade them, with ownership transferred on-chain.

Generative AI E-Book Reader

Reading · Generative AI · In development

A reader-first e-book app with generative image and video built in, on the web, iPhone, iPad and Android.

Reading comes first: a clean, distraction-free reader for the user's own library that also works offline. Behind the page, the app reads each book and works out its scenes, characters and places. It then generates images from the text in a choice of art styles, and those images become the reference for generated video, so a scene can move without its characters or setting changing.

Safety is built in: generated images are checked before they're shown, and adult content sits behind age verification.

Workshop Management Platform & Multi-Supplier Parts Search

Automotive · Full-stack web platform

A complete management system for an automotive workshop, built to replace its off-the-shelf software and run the whole business, from bookings to the point of sale.

At its centre is parts search. Staff enter the vehicle or rego and the part they need, and the platform queries seven Australian parts suppliers at once. It returns every matching part side by side, with part number, full fitment description, brand, trade price, RRP, stock status and location, so the best option is clear in seconds instead of seven phone calls.

Around it sits the rest of the workshop: online and in-house bookings, jobs and job templates, quick quotes and quotes, customers and vehicles, service schedules, timesheets, inventory, invoices and bills, courtesy vehicles and POS. Live boards give the floor an at-a-glance view of jobs, parts and services.

A custom Model Context Protocol (MCP) server that connects AI assistants and agents directly to a trade business's simPRO account.

Instead of staff copying details between screens, the AI can look up jobs, customers, quotes, schedules and invoices in simPRO and work with them in plain language. Each operation is exposed as a defined tool with its own permissions, so the assistant can only do what the business has allowed.
